Serve the Membership, Education, Market Research and Councils (MERC) teams to execute operations, logistics and reporting. Responsible for coordinating in-person operations and events. Provide support to stakeholders in their efforts to lead and manage programs, projects, events and resources.
RESPONSIBILITIES AND AUTHORITY
Be knowledgeable about all member benefits, programs and services offered by the association.
Responsible for the facilitation and coordination of MERC events, including but not limited to such programs as summits, volunteer meetings, meetups, receptions and tradeshow booths. This includes:
Serving as liaison with the Special Events team.
Off- and on-site event logistics and execution.
Ensuring the development and delivery of materials for all events, including folders, tent cards, handouts, etc.
Coordinate the Council and Membership new member welcome process which includes:
Working with marketing and communications team to create marketing materials.
Coordinating new member welcome process as directed by Council Liaisons and Director of Membership.
Execute the coordination of MERC in-person events and activations including:
Serve as a liaison between stakeholders and the Special events team.
Location scouting with guidance from stakeholder and Vice President.
Coordinate and ship all materials needed for events and activations.
Work with marketing and communications to ensure promotional efforts are timely and effective.
Coordinate post-event surveys with the Research team and provide analysis to key stakeholders, as needed.
Coordinate administrative functions on behalf of MERC, including:
Expense reimbursements for volunteers.
Office supply requests.
Assist with maintenance of Council, Network and Membership data reporting and Net Forum integration.
Identify and collect key metrics from events and programs from stakeholders.
Assist in maintaining and updating program data within MERC dashboards.
Work with data team to standardize reports and NetForum data entry.
Work with data team to maintain Council rosters within NetForum.
As requested, assist with SEMA front desk coverage and utilize as a remote workspace.
Assist in answering the main customer service line as needed.
As requested, provide administrative support to the Vice President, Director of and Council liaisons.
Take meeting minutes as needed.
Provide support on Task Force and Select Committee meetings as needed.
Work with Marketing to produce promotional items for programs as needed.
Be knowledge of inventory and status of promotional items.
Order giveaways, swag, gifts and awards as needed.
When directed by management, perform other assignments and duties as required.
Reports to Project Manager of Member Services.
Interface with Coordinator, Member Services to ensure all deliverables are met.
Interfaces with all MERC stakeholders.
Interfaces with all departments.
Interfaces with Association members and prospective members as recommended by the council directors.
PRIMARY SKILLS & REQUIREMENTS:
Team player who is willing to embrace new ideas and demonstrate an ability to change and grow as required by the position.
4-year college degree with a strong background in communications or event production preferred.
Demonstrated proficiency in all Microsoft Office software and strong willingness to learn new software programs is required.
Process all external and internal requests within provided deadlines during weekdays.
Skilled communicator with strong organizational abilities.
Travel requirements up to 25%.
